DocuWare has been used in dhmp since September 2009. 80 employees use the system which is installed on a Windows 2008 server. DocuWare was integrated into Addison via an internal interface, with the DMS running in the background. In this way, tax returns or pay slips created for clients in Addison are then stored automatically in the central document pool. Incoming documents such as client mail, tax notices or incoming invoices are scanned, tagged automatically, and then archived by the administrative office. The document appears via so-called ‘favorite requests’ in the responsible clerk's task list - who doesn't even need to close the familiar Addison interface. The user notes the document, forwards it, or generates new documents such as replies to clients.
If more than one employee is involved in this process and they have to adhere to appointments or deadlines, a workflow begins for further processing. Using the stamp function, work processes are managed by a web client which is fully integrated into the office software; the document's status can be checked online at any time. Olaf Meyer stresses the point: "Here in the office we really appreciate the fact that employees don't have to switch between lots of application windows, and that they can access the electronic filing system from their working environment at a click."
